BnB Colombia Tours: Partnership Terms & Conditions

Thank you for choosing BnB Colombia Tours. We value our partnership with travel professionals and are committed to providing world-class service to your clients. By confirming a booking, you (the “Agent”) agree to these professional terms, designed to ensure rate stability and seamless operational execution.

1. Quotations & Pricing Policy
- Quote Validity: Unless otherwise stated, all quotes are valid for 14 days from the date of dispatch. After this period, BnB Colombia Tours reserves the right to alter the quote in any way deemed necessary.
- The Deposit Requirement: To formally secure a booking, we require a deposit consisting of 30% of all land services plus 100% of the cost of any included flights.
- Exceptional Vendor Requirements: While our standard deposit is 30%, select premium venues and exclusive third party partners occasionally require a 50% upfront commitment to secure their services. In these specific instances, your initial deposit will be adjusted proportionally to meet these vendor requirements, ensuring your exclusive access is fully protected.
- Price Adjustments: We reserve the right to alter quotations without prior notice up until the point that this full deposit has been received.
- 3rd Party Increases: We strive for pricing consistency, but all rates and services are subject to changes, increases, and alterations imposed by 3rd party suppliers.
2. Booking Confirmation & Availability
- Pre-blocking: Availability is checked at the time of quotation, but services are not held (pre-blocked) unless specifically requested.
- The 24-Hour Window: For specific services (flights and certain hotel bookings), rates can only be maintained without full payment for a very limited time—occasionally as short as 24 hours.
- Confirmation Period: Once confirmation is received, BnB Colombia Tours requires a minimum of 48 business hours (working days) to re-verify and confirm all services. If a service is no longer available or a rate has shifted, we will inform the Agent immediately and suggest alternative options prior to the booking being secured.
- Minor Adjustments: Any price adjustment will be reflected in your subsequent scheduled payment.
3. Payment Schedule
To ensure the seamless execution of the program, payments are scheduled as follows:

Accelerated Bookings:
- Within 180 days: First two installments (55%) due upon confirmation.
- Within 90 days: First three installments (80%) due upon confirmation.
- Within 30 days: 100% payment due within 24 hours of confirmation.
4. Invoicing and Financial Integrity
- Invoicing: Invoices are sent 14 days before the due date. If an invoice is late, fees are waived until 14 days after receipt.
- Late Payments: A 1.5% monthly fee applies to outstanding balances.
- Credit Cards: Accepted with a 5.5% processing fee.
- Integrity: All funds are used exclusively for your specific program to ensure credit availability.
5. Documentation & Tax Benefits (VAT Exemption)
Foreign travelers are eligible for a 19% VAT exemption. To apply this, we must have a copy of the Traveler Details Form and the passport photo page on file. Without these, we are legally required to charge the 19% VAT.
6. Cancellations & 48-Month Credit Policy
We protect your client’s investment through Lifetime and Transferable Credits.

Key Terms for Agents
- Lifetime Credit: For cancellations made more than 45 days out, the deposit value (less non-refundable third-party costs) remains on file indefinitely. It never expires and can be used for any future booking.
- 48-Month Transferable Credit: For cancellations between 45 days and 6 months, payments beyond the deposit are held as a credit valid for 48 months. This credit is transferable to the same client or any other group managed by your agency.
- Unoccupied Rooms: Any excess deposit held for unoccupied rooms will be credited toward future payments, subject to hotel provider terms.
- Administrative Re-booking Fees: These cover the logistics of re-securing custom itineraries and are applied only at the time the credit is redeemed for a new program. Please note that re-booked programs are subject to current seasonal pricing at the time of redemption.
- Force Majeure: In the event of verifiable Force Majeure (e.g., natural disasters, pandemics), we issue a 100% Transferable Credit of the deposit, minus only documented, non-recoverable third-party costs. The 48-month validity applies.
7. Itinerary Adjustments & Liability
- Adjustments: Minor changes may occur due to weather or safety. The Agent will be notified immediately. BnB Colombia Tours is not responsible for costs incurred due to changes made by third-party carriers.
- Insurance: Comprehensive travel insurance covering medical emergencies and trip cancellation is mandatory for all travelers.
